Summary of Special Events and Volunteer Coordinator

The Special Event and Volunteer Coordinator is responsible for planning and executing special events, including fundraisers and internal events (e.g., staff retreat, holiday party), as well as creating and managing a volunteer program. This role involves some basic program marketing but places a significant emphasis on event management and volunteer coordination to support the mission of Family Nurturing Center.

Primary Duties:

Special Event Planning and Execution
• Plan and execute annual events, including Child Abuse Prevention Month campaign, Annual Gala, and other fundraising events.
• Organize internal events such as staff retreats, holiday parties, and team-building activities.
• Coordinate all aspects of event logistics, including venue selection, catering, entertainment, and volunteer coordination.
• Develop event budgets, track expenses, and ensure events stay within budget.

Volunteer Program Management:
• Create and manage a comprehensive volunteer program, including recruitment, training, and retention of volunteers.
• Develop volunteer policies and procedures to ensure a positive and effective volunteer experience.
• Coordinate volunteer activities and provide ongoing support and supervision to ensure successful execution of volunteer roles.

Marketing and Communication:
• Design and implement marketing strategies to promote special events and volunteer opportunities.
• Develop attractive and effective print and digital resources to promote events and volunteer programs.
• Plan and execute social media campaigns to increase awareness and engagement.
• Maintain the agency website with up-to-date content related to events and volunteer opportunities.
• Serve as a liaison to the media and work to establish Family Nurturing Center and key staff as subject matter experts.

Collaboration and Stakeholder Engagement:
• Work closely with the Development Director, Strategic Marketing & Branding committee, Special Events committee, and agency volunteers.
• Engage with key stakeholders, including corporate partners, donors, board members, and community members to promote events and volunteer programs.
• Plan and execute regular communication and outreach efforts, including print or enewsletters and event-specific collateral materials.

Experience/Skills:

Job Requirements:
Bachelor’s Degree required with relevant experience in event planning, volunteer management or marketing.
• Requires a shared vision and philosophy that promotes and enhances the mission of FNC.
• At least three years of professional experience in special events and volunteer coordination.
• Proven ability to think strategically and implement successful plans with measurable outcomes.
• Demonstrated ability to write accurate and compelling communications for various audiences.
• Proficiency with Microsoft Office, photo and video editing (Adobe Premiere Pro is a plus), Publisher, basic graphic design, and Adobe.
• Experience with website management and social media campaigns.
• Ability to initiate and maintain positive relationships with volunteers, corporate and agency partners, donors, board members, and staff.
• Understanding of child abuse and childhood trauma preferred.

Supervisory Responsibilities:
The Special Events and Volunteer Coordinator supervises the efforts of community and event volunteers.
