Summary of Human Resources/Finance Assistant

This position is responsible for providing administrative support to the Human Resources and Finance teams, including duties related to facilities management. Key responsibilities include data entry, report preparation, database management, scheduling, and handling highly confidential information. Proficiency with Microsoft Office and the ability to incorporate new systems are essential.

Primary Duties:

Finance Support-

  • Record deposits and perform light bookkeeping tasks.
  • Assist with the preparation of financial reports and updating computer files.
  • Support the Finance team with data entry and maintaining accurate financial records.
  • Compile monthly statistics and maintain demographic information on clients served.
  • Coordinate and oversee data collection, ensuring timely reporting of demographics, statistics, and service records.
  • Assist with the management of credit card checkouts and update credit card logs.
  • Support the Finance team in processing invoices and managing accounts payable/receivable.
  • Assist in preparing for audits by organizing and providing necessary documentation.
  • Back up for all areas of benefits administration and processing changes.
  • Work as back up for payroll administration, including updating after payroll reports.
  • Responsible for credit card check out and updating credit card logs.

Human Resources Support-

  • Assist with the maintenance of employee and volunteer personnel files, ensuring completeness and accuracy, including tracking professional training, background checks, and car insurance.
  • Conduct initial screening of references for employee and volunteer applicants and assist with background checks.
  • Schedule interviews for candidates in collaboration with Coordinators/Directors.
  • Manage data entry and updates within the HR system, including filing and other HR-related duties.
  • Support benefits administration and processing changes as a backup.
  • Maintain records of professional training and ensure annual certification compliance.
  • Support annual car insurance compliance and background check reminders, notifying supervisors and recording updates in the HR system.
  • Respond to inquiries from employees and volunteers regarding HR policies and procedures.

Administrative Support-

  • Type, proofread, and prepare routine correspondence, memoranda, and other documents.
  • Maintain and update current forms and ensure their availability.
  • Make copies, collate, and staple materials as requested in a timely manner.
  • Compose and type routine correspondence and process documents (e.g., memos, minutes).
  • Organize and maintain office files and records.
  • Assist with special projects and tasks as assigned by the HR and Finance teams.
  • Performs other related duties as required.

Experience/Skills:

Job Requirements:

Recommended Qualifications:

Experience:  Minimum one year experience in performing Human Resource or Finance administrative duties in an office setting. Prefer someone with expertise in Office Products, specifically Word, Excel and Access.  Experience with HRIS, specifically Paycor, is preferred.

Skills:  Knowledge of modern office procedures and methods including telephone communications, office systems and record keeping.    Ability to use a personal computer and various software packages.  Proficiency with Office 2000 and Microsoft Office.  Ability to add, subtract, multiply and divide quickly and accurately.  Ability to coordinate and perform number of different tasks related to various programs.  Ability to maintain accurate records, including financial and statistical records.  Ability to communicate effectively both orally and in writing.  Knowledge of correct English usage, grammar, spelling, punctuation and vocabulary.  Must be detail oriented and demonstrate initiative and problems solving skills.

Supervisory Responsibilities:

Supervises volunteers as needed.

Equipment to Be Used:

Must be capable of operating office machines and software; such as computer, calculator, copiers, shredder and communication equipment.  Must be able to set up a desktop/laptop computer for new users.
